Terms of Service

Welcome to Scouty. These Terms of Service ("Terms") govern your access to and use of the Scouty mobile applications and the website at scouty-app.com (together, the "Service"). By creating an account, signing in, or otherwise using the Service, you agree to these Terms. If you do not agree, you may not use the Service.
Plain-English summary. Scouty is a free tool that helps adult scouting leaders run their groups. You're responsible for the accuracy and lawfulness of the information you and your fellow leaders enter — particularly information about youth members, where parental consent is required. We do our best to keep the Service running but we provide it as-is.
1. Who can use the Service
You may create an account and use the Service if you are at least 18 years old and have a role in a scouting organisation that justifies you having access to its planning data. Children may not create Scouty accounts. Information about youth members is entered only by adult leaders, on behalf of and with the authorisation of the leader's organisation.
2. Your account
- You sign in to the Service using a passwordless email link sent to your email address.
- You are responsible for keeping access to your email account secure. Anyone who can read your email can sign in to your Scouty account.
- You agree to provide accurate information when creating your account and to keep it up to date.
- You may close your account at any time from Profile → Delete account in the iOS or web app, or by contacting support@scouty-app.com.
3. Organisations and roles
The Service is organised around scouting organisations ("Organisations"). When you create or join an Organisation you are assigned a role — Owner, Board Member, Group Leader, or Leader — which controls what you can see and do.
- The Owner of an Organisation is the data controller of that Organisation's data, including any information about its youth members. The Owner is responsible for ensuring that the lawful basis for processing that data — typically parental consent — is obtained and recorded.
- Board Members, Group Leaders, and Leaders have access to data on behalf of the Owner and must use it only for the purposes the Organisation has authorised.
- When you are removed from an Organisation, you immediately lose access to that Organisation's data.
4. Acceptable use
You agree that you will not, and will not permit anyone else to:
- upload content that is unlawful, infringing, defamatory, harassing, obscene, or harmful;
- upload images of children that you do not have parental consent to share;
- use the Service to send spam or unsolicited commercial communications;
- attempt to access the data of another Organisation or user without authorisation;
- reverse-engineer, decompile, or attempt to extract the source code of the Service except where the law expressly permits;
- circumvent security measures, rate limits, or content moderation;
- use the Service to compete with Scouty or to build a similar service.
We reserve the right to suspend or terminate access if we have a reasonable belief that these rules have been broken. We use Google Cloud Vision SafeSearch to automatically moderate uploaded images and we may remove content that violates these Terms.
5. Content you upload
You retain ownership of the content you upload to the Service ("Your Content"). By uploading Your Content you grant Scouty a worldwide, royalty-free licence to host, copy, transmit, display, and process Your Content for the purpose of providing the Service to you and your Organisation. The licence ends when you (or your Organisation) delete the content from the Service, subject to short-term backup retention.
You represent and warrant that:
- you have the right to upload the content;
- uploading and sharing it via the Service does not infringe anyone's rights;
- where the content concerns a youth member, you (or your Organisation) have obtained the parental consent required by applicable law.
6. Privacy
Our handling of personal data is described in our Privacy Policy. Where you process personal data of youth members through the Service on behalf of your Organisation, your Organisation is the controller and Scouty acts as a processor.
7. AI-assisted features
Scouty includes AI-assisted features that let you generate draft activities, camps, meetings, programme blocks, and badges from a prompt or an attached file. When you use these features, the prompt and any attached file are sent to Anthropic's Claude API for processing. You are responsible for reviewing the AI-generated output before saving it and for not pasting confidential information about youth members into the AI prompt.
8. Service availability and changes
We work hard to keep the Service available, but we do not guarantee uninterrupted or error-free operation. We may change, suspend, or discontinue any part of the Service at any time. We will give you reasonable notice before withdrawing major features in a way that materially affects you, except where the change is required to address a security risk or comply with law.
9. Pricing
The Service is currently provided free of charge. If we introduce paid plans in the future, we will publish the terms before they take effect and you will only be charged if you affirmatively choose a paid plan.
10. Termination
You may stop using the Service at any time. We may suspend or terminate your account if you breach these Terms, if it is necessary to protect the Service or its users, or if we are required to do so by law. On termination, your access ends immediately; previously-shared content remains in the Organisations to which you contributed it until those Organisations or their Owners remove it.
11. Disclaimer of warranties
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL MEET YOUR REQUIREMENTS, BE UNINTERRUPTED, OR FREE OF ERRORS.
12. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT WILL SCOUTY OR ITS OPERATORS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE. OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THE SERVICE WILL NOT EXCEED EUR 50.
Nothing in these Terms excludes or limits our liability for fraud, gross negligence, wilful misconduct, or any other liability that cannot be limited under applicable law.
13. Indemnity
You agree to indemnify and hold harmless Scouty and its operators from any claim, liability, or expense (including reasonable legal fees) arising out of (a) Your Content, (b) your breach of these Terms, or (c) your use of the Service in violation of applicable law — including, in particular, processing of personal data of youth members without parental consent.
14. Governing law and jurisdiction
These Terms are governed by the laws of the Netherlands. Any dispute arising out of or in connection with these Terms or the Service that cannot be resolved amicably will be subject to the exclusive jurisdiction of the courts of the Netherlands, without prejudice to mandatory consumer-protection rights you may have under the law of your country of residence.
15. Changes to these Terms
We may update these Terms from time to time. Material changes will be highlighted in the app or by email. The "last updated" date at the top of this page tells you when these Terms were last changed. Continued use of the Service after a change means you accept the updated Terms.
